Freelance Admin & Finance Officer 1 day a week (with additional hours agreed by negotiation).

  • £135 per day plus expenses

  • Location: homeworking and studio based by agreement.

We’re looking for a highly committed, responsible and level empathic individual to work with a well-established team in enhancing our services and in strengthening our organisation and capabilities. Artbox London is looking for a capable individual who can deliver the key admin and finance functions of our art studio You should be calm and pro-active and have experience both in finance and admin

Main Duties

The Admin & Finance Officer will support the charity in ensuring that the admin and finance functions run smoothly for this small, but dynamic charity. This may include creating new systems.

Finance responsibilities

• Monthly invoicing of session fees

• Ensuring session fees are paid by liaising with families and funders

• Reconciliation of cash receipts

• Ensuring finance systems are accurate and up to date

Administrative responsibilities

• Ensuring registers are up to date in negotiation with Art Tutors

• Liaising with Art Tutors and families regarding absence

• Updating Artist information and emergency contact details

• Managing new enquiries to sessions by liaising with Art Tutors, Sen Advisor and Directors

• Working as a central point of contact by email or telephone for the charity where necessary

• Fundraising and events administration, where necessary

• Managing leave and cover arrangements for all staff

• Working with the others to support the smooth running of the studio in operational tasks as necessary

• Supporting the Studio Manager with volunteer management where necessary

• Co-ordinating team training and development days in negotiation with Directors.

• Other general admin tasks to support the Directors

Person specification

We’re looking for a person who:

• Is level headed, organised and calm

• shares our commitment to serve adults with learning disabilities and autism

• is willing and able to contribute actively to the organisation’s development

• can work with and relate to a wide range of stakeholders

has some experience in and/or knowledge of one or more of the following:

• Financial, operational management, human resources and administration.

• Excellent organisational skills, with attention to detail and the ability to prioritise effectively (and the ability to help others achieve these things).

• Excellent verbal, written and presentation skills

• Ability to build relationships and work successfully with people at all levels

• Ability to focus on multiple tasks at the same time

• Excellent written and communication and interpersonal skills
